Our services include immersions, in-person intensives, private mentorship, one-to-one consulting, business advisory, group programs, workshops, educational resources, templates, operational frameworks and other related services.
This Privacy Policy applies to information collected through our websites, enquiries, applications, bookings, purchases, programs, private sessions, events, digital platforms, social media accounts and communications.
We are committed to handling personal information responsibly, transparently and in accordance with applicable Australian privacy legislation, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where applicable.
We recognise that our work may involve access to personal information, confidential business information, commercially sensitive materials, professional experiences and intellectual property belonging to our clients and participants.
We take the privacy and confidentiality of this information seriously while recognising that education, mentorship and professional development involve the exchange of ideas, experiences and industry knowledge.
This Privacy Policy should be read alongside our applicable Terms and Conditions, program agreements, private mentorship agreements and any other relevant service documentation.
2. WHAT WE MEAN BY PERSONAL INFORMATION
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not the information is true or recorded in a material form.
This may include your name, contact details, professional qualifications, registration information, employment or business details, communications, photographs, recordings and information shared during our programs or advisory services.
Business information may also constitute personal information where it identifies an individual, including a sole trader, founder, employee, customer or other person.
Sensitive information includes health information and other categories of personal information recognised under Australian privacy law.
THE VTMN METHOD does not generally require sensitive personal information to provide its educational or business advisory services.
Where sensitive information is collected, we will handle it in accordance with applicable legal requirements, including obtaining consent where required.
3. PERSONAL INFORMATION WE COLLECT
The personal information we collect depends on how you interact with THE VTMN METHOD and the services or programs you access.
Contact and identification information
We may collect your name, email address, telephone number, business name, professional role, billing address, country, location, time zone, social media details and other contact information.
Professional and registration information
As our programs are directed primarily towards healthcare practitioners, we may collect information about your qualifications, professional background, experience, AHPRA registration status or registration number, employment history, scope of practice and professional development goals.
This information may be used to assess program suitability, confirm eligibility where applicable and tailor educational or advisory services.
We may verify publicly available professional registration details where relevant.
Business and commercial information
When you participate in an immersion, private mentorship, consulting engagement or group program, we may collect information about your existing or proposed business.
This may include your business model, services, pricing, revenue, financial goals, operating costs, marketing, brand positioning, systems, suppliers, staffing, business challenges and future plans.
Some of this information may be commercially confidential without being personal information. Where it identifies an individual, it may also be personal information.
Applications, questionnaires and assessments
We may collect information submitted through application forms, enrolment forms, intake questionnaires, program assessments, feedback forms and other documents.
This information may be used to understand your professional experience, business circumstances, goals, suitability and requirements.
Program participation and educational records
We may maintain records of your enrolment, attendance, participation, purchased services, program access, educational materials, completed activities, submissions, feedback and communications.
Where attendance confirmations or certificates are issued, we may retain relevant records supporting their issue.
Private mentorship and consulting information
During private advisory or mentorship engagements, you may share business plans, financial information, operational documents, strategic challenges, professional experiences and other confidential material.
We may retain relevant notes, recommendations, documents, correspondence and action items to support the agreed engagement.
Recordings and transcripts
We may collect audio or video recordings, transcripts, AI-generated summaries, meeting notes and action items from private calls, group sessions, workshops, immersions and other meetings.
We use Fathom and may use recording or transcription features available through Google Meet, Zoom or other relevant platforms.
Further information about recordings and transcription is provided in Section 9.
Photographs, video and event content
Where you attend an in-person immersion, workshop, intensive or other event, we may collect photographs, video footage, audio recordings and other content documenting the event.
This may include images or recordings of participants, presenters, group activities, demonstrations, discussions and the event environment.
Further information about photography, filming and promotional use is provided in Section 12.
Payment and transaction information
We may collect billing details, transaction records, purchase history, payment status, invoices, receipts and information relating to payment plans or refunds.
Payments may be processed through Stripe or another nominated payment provider.
We do not intentionally store complete payment card numbers or card security codes in our own business records.
Website, email and technical information
We may collect information about your interactions with our website, emails, digital resources and online programs.
This may include your IP address, device and browser information, website activity, email engagement, referral sources and information collected through cookies or similar technologies.
4. HOW WE COLLECT PERSONAL INFORMATION
We generally collect personal information directly from you when you enquire about a service, submit an application, purchase a program, book a session, attend an event, participate in mentorship, complete a questionnaire or communicate with us.
We may also collect information through online booking and payment platforms, email marketing systems, video conferencing tools, recording services and other digital systems used to deliver our services.
In some circumstances, we may receive information from authorised representatives, referral partners, publicly available professional registers, social media profiles or other sources relevant to a particular engagement.
If you provide information about employees, patients, customers, contractors or other individuals, you are responsible for ensuring that the information can lawfully be shared with us.
We ask participants not to disclose identifiable patient health information, confidential patient records or unnecessary sensitive personal information through educational programs, AI tools, group discussions or business advisory sessions.
Where practical, clinical examples and case studies should be appropriately de-identified before being shared.
You may make general enquiries without identifying yourself where practicable.
However, enrolments, purchases and professional education services generally require sufficient identifying information to administer the relevant engagement.
5. WHY WE COLLECT AND USE PERSONAL INFORMATION
We collect and use personal information for purposes reasonably connected with operating THE VTMN METHOD and providing our services.
These purposes may include:
Responding to enquiries and providing information about programs.
Assessing applications and participant suitability.
Confirming professional qualifications or eligibility where relevant.
Processing enrolments, bookings and payments.
Delivering two-day immersions, intensives and workshops.
Providing private mentorship and business consulting.
Administering group programs and educational communities.
Preparing educational materials, resources and recommendations.
Tailoring advice to a participant's business circumstances.
Managing client communications, meetings and follow-up support.
Providing access to resources, templates and digital materials.
Maintaining attendance and participation records.
Documenting business decisions and agreed action items.
Improving our programs, resources and client experience.
Developing educational content from general industry themes and professional insights.
Administering marketing and promotional communications.
Documenting and promoting events where appropriate consent has been obtained.
Protecting our intellectual property and confidential information.
Responding to disputes, complaints or professional concerns.
Meeting applicable legal, taxation and business obligations.
We may also use personal information for a related purpose you would reasonably expect, with your consent, or where otherwise permitted or required by law.
We do not sell personal information.
6. PROFESSIONAL EDUCATION AND PARTICIPANT INFORMATION
THE VTMN METHOD provides professional education and business development support.
Our programs may involve discussions about clinical governance, healthcare business operations, regulatory responsibilities, commercial planning, marketing, business strategy and professional practice.
We may collect information about your professional background and business experience to understand the context in which you are participating.
Information provided during a program does not automatically become part of a clinical patient record maintained by VTMN DRIPS.
THE VTMN METHOD is distinct from the provision of healthcare services to patients, even where educational activities refer to clinical practice or healthcare operations.
Participants remain responsible for their own professional obligations and for ensuring that information they provide to us can lawfully be disclosed.
Where an educational activity involves an actual patient assessment or treatment, separate clinical consent, record keeping and privacy arrangements may apply.
7. PRIVATE MENTORSHIP, CONSULTING AND ADVISORY SERVICES
Private mentorship and consulting engagements may involve detailed discussions about a participant's professional circumstances, business operations, commercial plans and challenges.
We may collect and retain information necessary to provide meaningful advice, maintain continuity between sessions and prepare relevant recommendations.
This may include business plans, financial figures, operational procedures, brand materials, strategic documents, correspondence and other information shared during the engagement.
We treat private advisory information as confidential, subject to applicable law, the relevant service agreement and disclosures reasonably necessary to deliver the service.
We do not share one private client's identifiable business information with another client or participant without appropriate authority.
Private conversations, confidential business documents and commercially sensitive information will not be publicly disclosed in identifiable form without appropriate permission.
However, we may draw upon general professional knowledge, recurring industry challenges, educational themes and de-identified insights arising from our work, as described in Section 8.
8. USE OF GENERAL INSIGHTS, EDUCATIONAL THEMES AND DE-IDENTIFIED EXPERIENCES
THE VTMN METHOD develops educational resources, articles, social media content, workshops, presentations and other materials informed by our professional experience, client engagements and industry observations.
In doing so, we may draw upon general themes, recurring questions, professional challenges, business observations, industry patterns and educational insights arising from private mentorship, consulting engagements, immersions and group programs.
These insights may be used to inform future educational resources, programs, training materials, presentations, articles, social media content and marketing communications.
We will not intentionally identify an individual participant, disclose confidential business information or publish identifiable details of private conversations without appropriate permission.
Where a general insight is drawn from a client experience, we will take reasonable steps to remove identifying information and avoid including details that would reasonably allow the individual or business to be identified.
We may combine observations from multiple engagements or describe common industry challenges in general terms without attributing them to a particular participant.
Participants may request that insights derived from their private engagement not be used for external educational or marketing content, including in deidentified form, by notifying us in writing.
Such a request will be respected in relation to future uses of information derived from that participant's engagement.
This does not prevent THE VTMN METHOD from applying its general professional knowledge, independently developed expertise, publicly available information or experience acquired through its work.
Nothing in this section authorises the disclosure of identifiable personal information, confidential business information, patient records or other protected material contrary to applicable law or contractual obligations.
9. CALL RECORDINGS, TRANSCRIPTS AND AI SUMMARIES
THE VTMN METHOD may use Fathom, Google Meet, Zoom and related technologies to record, transcribe or summarise private calls, mentoring sessions, group programs, workshops and other meetings.
We will provide appropriate notice before recording or transcription and obtain consent where required.
Recordings, transcripts and AI-generated summaries may be used to maintain accurate records of discussions, prepare session notes, identify action items, support continuity between mentoring sessions, prepare relevant client documents, administer programs and provide session replays where included in a program.
Private sessions
Private mentorship and consulting recordings are treated as confidential client information.
We do not provide identifiable private session recordings to unrelated clients or group participants without appropriate permission.
We may use general educational themes arising from private discussions in accordance with Section 8, but this does not authorise publication of the recordings themselves.
Group sessions
Some group programs or workshops may include recordings made available to enrolled participants.
Where this occurs, participants will be informed of the recording arrangements and intended access before the session.
Participants should be aware that their name, image, voice, questions or contributions may be captured when they participate in a recorded group session.
Where required, we will provide a reasonable opportunity to decline recording or participate through an alternative arrangement.
Use in marketing
We will not publish identifiable private session recordings, transcripts or confidential discussions in marketing materials without appropriate separate permission.
Retention and access
Recordings and transcripts are retained for as long as reasonably necessary for the relevant program, engagement, business requirements and legal obligations.
Requests concerning access, correction or deletion may be made using the contact details in this policy.
10. ARTIFICIAL INTELLIGENCE AND DIGITAL TOOLS
THE VTMN METHOD uses artificial intelligence and digital technologies to support education, consulting, business strategy and administration.
These include ChatGPT, developed by OpenAI, Claude, developed by Anthropic, and Fathom for AI-assisted meeting documentation.
Depending on the service, these technologies may assist with research, analysis, educational planning, document drafting, business frameworks, strategic recommendations, meeting summaries, resource development and internal workflows.
Information processed through AI
Information processed through AI tools may include business information, program materials, participant instructions, session notes, documents, correspondence and relevant personal information.
We aim to limit the personal information entered into these systems to what is reasonably necessary for the relevant purpose.
We do not require participants to provide identifiable patient information for general business mentoring or educational purposes.
Identifiable patient records and sensitive clinical information should not be uploaded to general-purpose AI tools as part of THE VTMN METHOD without an appropriate lawful basis, necessary safeguards and specific authorisation.
Third-party processing
AI providers may process information through systems located outside Australia.
Their handling of information depends on the particular service, account settings and applicable contractual arrangements.
We take reasonable steps appropriate to the circumstances to manage privacy, confidentiality and security when using these tools.
Human oversight
AI may assist in preparing content, summaries, analysis and recommendations, but it does not replace professional judgement.
AI-generated material may contain errors and should be reviewed for accuracy, relevance and suitability.
We do not rely solely on AI to make decisions that significantly affect an individual's professional rights, eligibility or interests without appropriate human involvement.
11. GROUP PROGRAMS, WORKSHOPS AND IMMERSIONS
THE VTMN METHOD may deliver group programs, in-person immersions, workshops and other shared learning experiences.
Participation may involve discussions, questions, introductions, business examples, group activities and interaction with other participants.
Other participants may become aware of information you voluntarily share during these activities.
We ask all participants to respect the confidentiality and privacy of others, including their professional circumstances, business plans and personal experiences.
However, we cannot guarantee the conduct of independent participants or the confidentiality of information voluntarily disclosed in a group environment.
Participants should exercise appropriate judgement when sharing confidential business information, patient information or other sensitive material.
Where group sessions are recorded or made available for replay, we will provide relevant information about the recording and its intended audience.
Private mentorship sessions are not made available to group participants merely because they relate to the same program.
12. EVENT PHOTOGRAPHY, FILMING AND PROMOTIONAL CONTENT
THE VTMN METHOD may photograph, film and record its in-person immersions, workshops, intensives and other events for educational, editorial, promotional and marketing purposes.
Event content may include photographs, video footage, audio, group activities, presentations, demonstrations and general footage of participants attending and engaging in an event.
We may use event content to document our programs, demonstrate the learning experience, promote future events, develop educational resources and communicate the activities of THE VTMN METHOD.
Where a participant has provided appropriate media consent, THE VTMN METHOD may edit, reproduce, publish and distribute identifiable event content featuring that participant through its websites, social media channels, email communications, advertising and other promotional materials without seeking separate approval for each individual publication, provided the use remains within the scope of the consent given.
Media consent may be requested during registration, booking or through another appropriate consent process before the event.
Participants may decline promotional media consent or withdraw consent for future uses by contacting THE VTMN METHOD.
We will take reasonable steps to accommodate participants who do not wish to appear in identifiable promotional content.
Withdrawal of consent will apply to future uses where reasonably practicable. It may not be possible to remove content already lawfully published or distributed before the withdrawal request, although reasonable requests for removal will be considered.
We will not intentionally publish private conversations, sensitive personal information, confidential business information or identifiable patient information through event content without appropriate separate permission.
Attendance at an event does not, by itself, constitute unrestricted consent to use an individual's identifiable image, voice or personal information for promotional purposes.
13. FEEDBACK, TESTIMONIALS AND DE-IDENTIFIED CLIENT EXPERIENCES
THE VTMN METHOD may receive feedback, reviews, messages, testimonials and other comments from participants and clients.
We may use general feedback, professional observations and de-identified client experiences to describe our services, share educational insights and communicate the experiences of participants.
Where feedback is shared without separate publication consent, we will take reasonable steps to remove identifying information and confidential details so that the individual or business is not reasonably identifiable.
This may include removing names, profile photographs, account identifiers, business names, distinctive project details and other information that could reasonably identify the person providing the feedback.
We may reproduce short extracts of genuinely de-identified feedback, including in text or screenshot format, where doing so does not disclose protected information, infringe applicable rights or create a misleading impression.
We will not knowingly publish false or misleading testimonials or materially alter the meaning of feedback.
Where a testimonial, photograph, video, business result or client experience identifies or is reasonably likely to identify an individual or business, we will obtain appropriate permission before publication.
Participants may contact us if they have concerns about the use of feedback relating to their experience.

You can unsubscribe from marketing communications using the unsubscribe link provided or by contacting us directly.
We will process unsubscribe requests in accordance with applicable law.
Program and service communications
We may continue to send messages reasonably necessary to administer a program or engagement, including booking confirmations, payment notices, session links, schedule changes, access instructions, resources and important program updates.

We take reasonable steps to protect this information and limit its use to legitimate program, advisory and business purposes.
Our educational resources, templates, frameworks, manuals, materials and other intellectual property are governed by the applicable THE VTMN METHOD Terms and Conditions.
This Privacy Policy does not grant participants any additional intellectual property rights or permissions to reproduce, distribute or commercially exploit our materials.
Similarly, the collection of participant information does not transfer ownership of a participant's pre-existing business intellectual property to THE VTMN METHOD.
Personal information and commercially confidential information are handled according to their respective legal and contractual protections.
The use of general educational themes and de-identified experiences under this policy does not authorise the disclosure of protected confidential information or the unauthorised reproduction of another person's intellectual property.

These may help us operate our website, understand visitor activity, improve services, measure marketing effectiveness and provide relevant content.
